Overview

A respected, trial-focused law practice with a strong reputation for client advocacy is expanding its Orange County headquarters. We are searching for a sharp, resourceful Legal Secretary who thrives in a fast-moving courtroom environment and enjoys being the organizational backbone of a high-performing litigation team. In this role you will partner directly with several seasoned trial attorneys, ensuring every deadline is met and every filing is flawless. Key Responsibilities

  • Prepare, revise, and finalize pleadings, motions, discovery, and other legal documents with meticulous attention to detail.
  • Manage complex attorney calendars by scheduling hearings, depositions, client meetings, and statutory deadlines while proactively avoiding conflicts.
  • Perform electronic and traditional filings in California state and federal courts, maintaining full compliance with local rules and e-service requirements.
  • Curate and maintain comprehensive physical and digital case files, trial binders, exhibits, and evidence lists for rapid retrieval before and during trial.
  • Serve as a professional liaison between attorneys, clients, court personnel, and opposing counsel, delivering prompt and courteous communication.
  • Track time entries, prepare billing edits, and process expense reports to keep matters on budget and billing cycles on schedule.
  • Provide full-spectrum office support including document production, scanning, copying, and records management to keep daily operations running smoothly.

 

 

 

Required Background

  • 3+ years of experience as a litigation or criminal-defense secretary within a law-firm setting.
  • Solid working knowledge of California court procedures and electronic filing portals.
  • High proficiency with Microsoft 365 and legal practice-management tools such as Clio, NetDocs, or comparable platforms.
  • Exceptional grammar, organization, and multitasking abilities with proven success meeting tight deadlines.
  • Demonstrated discretion when handling sensitive information and an ability to remain composed under pressure.
  • Bachelor’s degree, paralegal certificate, or equivalent professional training preferred.
